Leaving Vimeo
Leaving Vimeo, in order.
Most guides to leaving Vimeo cover the files. This one also covers what does not travel with a file: review notes, approvals, team access, captions and private audiences. Every Vimeo fact here comes from a page Vimeo publishes, with the day we read it. Use it wherever you end up.
What should I do before I cancel Vimeo?
Download your source files while the plan is still paid. Vimeo stores source files for paying members only. After a paid plan lapses, source files are deleted after 60 days and cannot be recovered.
Vimeo does not support bulk downloading, so this is one video at a time unless you use a third-party exporter.
What does not come with the file?
A download gives you the video and nothing around it.
Review notes and approvals. Comments a client left on a cut stay in Vimeo. Close open reviews, or copy out the notes you still need, before the plan ends.
Team access. When a paid plan lapses, team members lose access to the team account. Tell them the date, and decide who needs a seat in the new place.
Privacy settings. Passwords, unlisted links and embed restrictions are settings on Vimeo's side. You set them again wherever the video goes.
Links and embeds. A Vimeo link cannot be pointed at a new host. Every embed is replaced by hand, and every link you have sent is sent again.
What breaks when the paid plan ends?
Several things change on the day, according to Vimeo's help center:
- Videos set to password, unlisted or embed-only are switched to private.
- Videos over the free plan's storage cap are restricted. Their pages and embeds stop working, and links you have shared no longer play. They are not deleted.
- Player customizations revert to the default player.
- Team members lose access.
- Source files are deleted after 60 days.
The safe order is to move the videos, replace the embeds, check each page, and only then let the plan end.
Where should the videos go?
It depends on what the videos are for.
You work alone, the library is large, and you want the most storage for the money. Use Livid. Its free exporter copies a Vimeo library across with folders and metadata, and its paid plan includes far more storage than ours. Stillhaven vs Livid has the numbers.
Clients review and approve your cuts. That is us. A reviewer leaves timestamped notes on a share page without an account, you reply or resolve, and they sign off. On every plan.
More than one person runs the library. That is us from Studio, with up to 3 admins and 3 editors. Creator adds editor seats one at a time.
Students or members watch privately. That is us from Studio. Private channels put viewers behind their own sign-in and show each viewer's progress.
You run live events. Stay with Vimeo or choose a live tool. We host recorded video only.
You sell video with a checkout. You need a storefront tool. We have no checkout.
Stillhaven vs Vimeo compares the two plan by plan.
Moving to Stillhaven, step by step
- Start a plan. Every plan billed monthly starts with 14 days free, card on file.
- Write to us before you upload a whole library. Each plan takes a set number of hours of new video a month, and the trial takes fewer. Tell us what you are moving and we lift the limit.
- Drag your exported folder into the uploader. Its structure becomes your folders.
- Set allowed domains once, as the default for the library, so embeds play only on your sites.
- Replace the embeds page by page, and open each page to check it.
- Send clients a share page with client review turned on, in place of the old Vimeo link.
- Keep Vimeo paid until the last embed is replaced.
There is no direct Vimeo importer. Ours is for Wistia.
